Quality Administrative Assistant (entry level) – San Carlos, CA

This job description is not intended to be all-inclusive. The Quality Administrative Assistant (Entry Level) may perform other duties as needed to meet the ongoing needs of the organization.

Summary: 

The Quality Administrative Assistant will support our Global Quality Manager. This position will be responsible for supporting QA and QC functions and working closely with other departments to resolve discrepancies with related quality documentation.  

Essential Duties and Responsibilities (including but not limited to)

  • Respond to inquiries regarding Quality Control including verification of customer and manufacturing issues and escalating to the Manager 
  • Track related Quality requests and ensure timely closure of requests 
  • Assist in auditing of Quality system and maintains inspection records 
  • Complete required forms to support Quality compliance activities 
  • Maintains RMA, RTV and Scrap Systems 
  • Perform visual and mechanical inspection of parts and verification of products including monitoring incoming and finished goods 
  • Assist in review and audit of compliance documentation and standardized business processes 
  • Provide analysis of Customer Service Information
  • Must be able to lift to 50lbs.

Skills/Knowledge Desired: 

  • ASQ Certification desired
  • Manufacturing experience desired 
  • Strong customer service and solution driven approach to resolving client requests 
  • Excellent organizational and time management skills to prioritize multiple projects 
  • Experience within an ISO compliant Or Highly Regulated industry a plus 
  • Must be able to lift to 50lbs.

  • Proficiency using MS Office (Word, Excel, Outlook, PowerPoint) to perform daily duties

Language Ability

Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations.  Ability to write reports, business correspondence, procedure manuals, and to effectively present information and respond to questions from groups of managers, clients, customers, and the general public.

Math Ability

Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume.  Apply the concepts of basic algebra and geometry.

Reasoning Ability

Ability to define problems, collect data, establish facts, and draw valid conclusions. Ability to interpret an extensive variety of technical instructions in mathematical or diagram form and deal with several abstract and concrete variables.

Experience/Education Required:

  • Min. High School Diploma or Equivalent 
  • Min. 1 year in an administrative capacity supporting Quality Control, Quality Assurance, Regulatory Compliance, or related activities
  • Must be able to lift to 50lbs

Working Environment: 

Physical location – Position is located in an office/warehouse environment. 

Noise/Sound – Position is located in an office/warehouse environment with exposure to low levels of sound.  Position will be exposed to additional noise from traveling with using or more of the following: auto, airplane, public transportation, or similar approved mode of travel. 

Equipment– Position is located in an office/warehouse environment with standard office equipment including PC’s/desk top computers, fax machines, copy and scanning machines, multi-line telephone system and other low-powered business machines. 

Scent/Smell – Position is located in an office/warehouse environment with low levels or variation of scents/smells.  

Chemicals– Position is located in an office/warehouse environment with low levels of exposure to chemicals including hand sanitizers, bathroom soap and air fresheners/sanitizers.
