Accounts Payable Clerk – San Carlos, CA

This job description is not intended to be all-inclusive. The Accounts Payable Clerk may perform other duties as needed to meet the ongoing needs of the organization.

Summary: 

As an Accounts Payable Clerk, you’ll be asked to perform accounting and clerical tasks for the maintenance and processing of accounts payable transactions.

Essential Duties and Responsibilities (including but not limited to)

  • Matching packing slips/receipts with invoices and obtaining payment approval 
  • Coding and posting invoices and expense reports into EPICOR and E2
  • Enter cash receipts into E2
  • Match inventory invoices with EPICOR receiving and posting  
  • Research problem invoices, review vendor statements and answer inquiries
  • Ensuring checks are prepared promptly and vendor discounts taken
  • Ensure bills are paid on a timely basis to avoid finance charges
  • Match checks for signature, mail, and file in a timely manner
  • Void and reissue checks that are lost
  • Set up new vendors and updated the existing vendor records in EPICOR
  • Obtain W-9 forms when required
  • Processing weekly payments
  • Issue manual checks 
  • Sort, open and date stamp incoming mails, mailing and filing
  • Handling intercompany invoices and payments
  • Other duties as assigned by management

  • Strong problem-solving skills, basic accounting principles knowledge, documentation skills, research and resolution skills, data analysis and multi-tasking skills
  • Thorough knowledge of applicable accounts payable/general ledger systems and procedures, financial chart of accounts and corporate procedures
  • Self-motivated and able to function independently; detail orientated, organized, and must work well as a team player
  • Strong communication (written/verbal) and interpersonal (ability to build rapport with all levels of employees and customer/vendors) skills
  • Works well under pressure, able to multi-task and reliable
  • Possess strong organizational and time management skills 
  • Ability to work varied shifts as needed 
  • Must have strong work ethics
  • Ability to work independently and with a team in a fast-paced and high volume4 environment with emphasis on accuracy and timelines 

Language Ability

Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations.  Ability to write reports, business correspondence, and procedure manuals.  Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the general public.

Math Ability

Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume. Ability to apply concepts of basic algebra and geometry.

Reasoning Ability 

Ability to define problems, collect data, establish facts, and draw valid conclusions. Ability to interpret an extensive variety of technical instructions in mathematical or diagram form and deal with several abstract and concrete variables.

Experience/Education Required:

  • HS Diploma or education equivalent; Bachelor’s Degree in Accounting/Finance a plus 
  • Minimum 3 years of AP experience preferred 
  • Excellent phone and computer skills. 
  • Proficiency with Microsoft Outlook, Excel and Word required. 
  • 10-key by touch
  • EPICOR knowledge is plus

Working Environment: 

Physical location – Position is located in an office/warehouse environment.  

Noise/Sound – Position is located in an office/warehouse environment with exposure to sounds of trucking unloading, operation of forklifts, parts being dumped and packed and other various finished goods.  Position will be exposed to additional noise from traveling with using or more of the following: auto, airplane, public transportation, or similar approved mode of travel. 

Equipment– Position is located in an office/warehouse environment with standard office equipment including PC’s/desk top computers, fax machines, copy and scanning machines, multi-line telephone system and other low-powered business machines. 

Scent/Smell – Position is located in an office/warehouse environment with low levels or variation of scents/smells.  

Chemicals– Position is located in an office/warehouse environment with low levels of exposure to chemicals including hand sanitizers, bathroom soap and air fresheners/sanitizers.
